Using PRINCE2 7 Practices in project management

In PRINCE2, practices aren’t isolated concepts but integrated elements that work together to offer a holistic project management approach.

Understanding each practice’s significance and potential real-world implications ensures better preparedness and successful project outcomes.

Each PRINCE2 practice serves a specific and vital role. Neglecting or misinterpreting them can have severe repercussions on a project’s success.

The PRINCE2 7 Business Case practice

Ever been to a party without knowing why you were invited? That’s a project without a solid Business Case. It answers our burning question: “Why are we even doing this?” We’ve all been there, starting something without fully understanding the “why” behind it. Think of a startup pouring cash into a fancy app, only to realize no one wanted it. Ouch!

The PRINCE2 Business Case practice ensures that the project remains viable in terms of costs, benefits, risks, and timescales. It answers the fundamental question: “Why are we investing in this project?” The Business Case is maintained and validated throughout the project’s life.

Real-world Example: Imagine a tech company that decides to develop a new software application without a proper Business Case. They believe there’s demand but haven’t conducted proper market research.

After spending millions on development, they realize there’s limited interest, leading to significant financial loss. Proper attention to the Business Case theme would have helped validate the project’s viability from the onset.

The PRINCE2 7 Risk practice

Risk management is integral to successful project management. The Risk theme in PRINCE2 focuses on identifying, assessing, and controlling uncertainties in the project to improve its chances of success. Effective risk management ensures that risks are identified early, their impact is assessed, and appropriate responses are planned.

Remember that time you tried to skate without protective gear and got those bruises? That’s what happens when we ignore risks in a project. It’s all about spotting those sneaky pitfalls before they get ya. Just like when you’re building a skyscraper, and halfway through, you realize the base isn’t sturdy. Yep, that’s a costly “oops”.

Real-world Example: Consider a construction company building a skyscraper without thorough risk assessments. When they reach the 50th floor, they realize the foundation isn’t strong enough to support more levels.

Had they followed the PRINCE2 Risk practice diligently, they would have identified and mitigated this issue much earlier, preventing potential disaster.

The PRINCE2 7 Quality practice

Quality in PRINCE2 pertains to ensuring that the project’s products meet the requirements and are fit for purpose. The Quality practice provides a framework to define and implement quality methods to confirm the project is on the right track.

Ever bought a jacket that felt more like a thin bedsheet? Quality, or the lack of it, right there! In PRINCE2 land, Quality ensures that what we deliver is top-notch, not just another run-of-the-mill product. Because no one likes those “all show, no substance” scenarios.

Real-world Example: A clothing brand rushes to release a new line of winter jackets. However, in their haste, they forgo several quality checks. Once released, customers complain that the jackets aren’t warm enough for winter weather.

This leads to returns, brand damage, and lost sales. By adhering to the PRINCE2 7 Quality practice, the brand could have ensured their product met customer expectations.

The PRINCE2 7 Plans practice

You wouldn’t set out on a road trip without a map, right? That’s what Plans in PRINCE2 are all about. It’s like the GPS for your project. I once saw a team diving headfirst into a project, and boy, without a roadmap, they ended up in a metaphorical desert with no water!

The Plans theme provides a structured framework for defining how, when, and by whom the project’s specific targets will be achieved. Planning in PRINCE2 is product-based, ensuring clarity about what the project will deliver, aiding in the creation of a comprehensive work breakdown structure.

Real-world Example: A company aims to launch a new e-commerce website. Without a structured plan, they randomly start developing features. Over time, they realize that there are significant gaps in the user experience, and the launch gets delayed by months.

Had they used the PRINCE2 Plans practice, they could have established a clear roadmap, ensuring organized development and timely delivery.

The PRINCE2 7 Issues Practice

Ever tried a new hairstyle and regretted it instantly? Well, projects can feel the same without a proper Issues practice. It’s about steering the project ship through stormy seas of alterations and coming out on the other side, all sails intact.

The issues practice in PRINCE2 deals with how project work is controlled and managed when there are potential modifications or deviations from what was initially planned. It encompasses issue management, change control, and configuration management.

Real-world Example: An automaker is in the middle of producing a new car model when they decide to change the engine design. However, without a formal change management process, they don’t assess the implications of this change on other parts of the car.

Upon completion, they find that the new engine doesn’t fit well with the existing car chassis, leading to expensive redesigns and delays. With a proper adherence to the PRINCE2 Issues practice, the implications of changes would be thoroughly evaluated before implementation.

The PRINCE2 Progress practice

Imagine baking without ever checking the oven. You might end up with charcoal! Progress is our little sneak-peek into the project oven, making sure everything’s cooking just right.

The Progress practice in PRINCE2 focuses on the ongoing viability of the project’s plans. It offers mechanisms for monitoring and comparing actual achievements against those planned, providing a basis for decision-making.

Real-world Example: A mobile app startup plans for quarterly releases with new features. However, without effective progress monitoring, they overlook the slowing pace of development.

By year-end, they realize they’ve fallen behind competitors who have released more advanced features. Monitoring progress as per PRINCE2 guidelines would have helped them adjust and adapt in real-time.

The PRINCE2 Organization practice

Real-world Example: An event management company is organizing a large conference. Due to unclear roles and overlapping responsibilities, two teams end up booking two different venues for the same event.

This results in confusion, wasted resources, and reputational damage. Had they followed the PRINCE2 Organization theme, clear roles and responsibilities would have prevented such a costly oversight.
