Revising The PRINCE2 Organization Theme
When taking the PRINCE2 Practitioner exam you will be facing a full section of 12 questions on the organisation, and it is highly likely that you will have additional project scenario information to read.

Understanding the organisation theme is fundamental to understanding PRINCE2.
The extra information within the scenario is often 1 ½ pages home because you’re given a list of people with a paragraph of information about each person.
From that list you may be asked to select suitable people to fill roles in the project
Often, you are asked to select just one person for each role, but occasionally you may get questions where you are asked to select to people who may be suitable to consider for a particular role.
Such questions, obviously enough, are to check whether you understand the PRINCE2 roles and the suitability of people to fill them, such as the senior supplier on the project board being a manager who is in a position to allocate staff resource for the project teams.
Revising the PRINCE2 organisation theme
Along with revising the roles themselves, you need to be clear on for related areas, so include them in your revision if you are currently unsure of them. These areas are:
BUS: the business, user and supplier viewpoints which you will see in the project board and project assurance appointments
There four management levels and how the roles map on to these
The communications management strategy
The impact on project roles and responsibilities if the project is part of a programme, such as the impact on reporting lines, but also where program staff may also cover project roles, such as the programme director also being the project board executive.
You understand the purpose and objectives statements for the Organization Theme
- You understand the difference between jobs and roles and the importance of using role descriptions. You know which roles can be shared between more than one person and when two or more roles may be held by an individual. You are also clear which roles cannot be shared
- You understand how the principle of defined roles and responsibilities are applied to this theme
- You are familiar with the roles on the project management team from the Executive of the Project Board down to the Team Manager role
- You know how the project management team structure is used, often in a simple hierarchical chart, and that it is first created in the Project Brief and then revised within the Project Initiation Documentation (PID)
- You know where people are appointed to the roles and when any tailoring or adjustments can be made to such allocation.
- You know who is responsible for appointing people to the roles and keeping the management team structure up to date
- You understand how the business, user, and supplier perspectives are applied to the Project Board and Project Assurance roles
- You understand the four management levels, and that three of those exist within the project, and how these roles map onto each level

- You are very familiar with the detail of the communications management strategy and confident that you understand each of the sections including identifying any errors
- You understand the organization related products of the project management team structure, communications management strategy and role descriptions
- You are confident of adjusting the allocation of roles to tailor a specific project, including the use of sharing and shared roles
- You are familiar with the characteristics needed for each role and would be able to identify suitability of an individual to fulfil each role
- You understand the three levels of directing, managing and delivery within the context of the project management team roles
- You are familiar with each of the roles within the project management team and the basic responsibilities for each
