Mastering the PRINCE2 7th Edition: Authorizing a Work Package

 May 11, 2023

By  Dave Litten

Today, we’re going to explore one of the key activities in the PRINCE2 methodology: Authorizing a Work Package. This activity is crucial for ensuring that your project runs smoothly and efficiently.

Authorizing a work package is a vital activity in the PRINCE2 7th Edition methodology. It ensures that everything is in place before work begins, helping to keep the project on track and aligned with its objectives

What is a Work Package?

Before we get into the nitty-gritty of authorizing a work package, let’s first understand what a work package is. In PRINCE2, a work package is a set of related tasks that need to be completed to achieve a specific objective.

Think of it as a mini project within your larger project. Each work package is clearly defined, with specific deliverables, timelines, and resources.

The Importance of Authorizing a Work Package

Authorizing a work package is like giving the green light for a specific set of tasks to begin. It’s a critical step in the project management process because it ensures that everything is in place before work starts.

This includes having a clear understanding of the tasks, the resources required, and the expected outcomes. By authorizing a work package, you’re essentially saying, “We’re ready to go!”

Steps to Authorize a Work Package

  1. Define the Work Package
    • What it is: Clearly define the scope, objectives, and deliverables of the work package.
    • Why it matters: This ensures that everyone involved knows exactly what needs to be done and what the end goal is.
  2. Identify Resources
    • What it is: Determine the resources needed to complete the work package, including people, equipment, and materials.
    • Why it matters: Having the right resources in place is crucial for the successful completion of the work package.
  3. Set Timelines
    • What it is: Establish a timeline for the work package, including start and end dates.
    • Why it matters: Timelines help keep the project on track and ensure that tasks are completed on time.
  4. Assign Responsibilities
    • What it is: Assign specific tasks and responsibilities to team members.
    • Why it matters: Clear responsibilities ensure that everyone knows what they’re supposed to do and who to go to for help.
  5. Review and Approve
    • What it is: Review the work package details with stakeholders and get their approval.
    • Why it matters: Approval from stakeholders ensures that everyone is on the same page and that the work package aligns with the overall project objectives.
  6. Issue the Work Package
    • What it is: Officially issue the work package to the team, giving them the go-ahead to start work.
    • Why it matters: This formalizes the start of the work package and ensures that everyone is ready to begin.

Tips for Effective Work Package Authorization

  1. Be Clear and Specific: When defining the work package, be as clear and specific as possible. This helps avoid misunderstandings and ensures that everyone knows exactly what needs to be done.
  2. Communicate Effectively: Keep the lines of communication open with your team and stakeholders. Regular updates and check-ins can help keep everyone informed and on track.
  3. Monitor Progress: Once the work package is authorized, keep an eye on progress. Regular monitoring helps identify any issues early and ensures that the work stays on track.
  4. Be Flexible: Sometimes things don’t go as planned. Be prepared to make adjustments as needed to keep the work package on track.
  5. Celebrate Successes: When a work package is completed successfully, take the time to celebrate. Recognizing achievements can boost morale and keep the team motivated.

Real-World Example

Let’s bring this to life with a real-world example. Imagine you’re managing a project to develop a new mobile app. One of the work packages might be to design the user interface (UI). Here’s how you might go about authorizing this work package:

  1. Define the Work Package: The scope includes creating wireframes, mockups, and a final UI design. The objective is to create a user-friendly and visually appealing interface.
  2. Identify Resources: You’ll need a UI designer, a UX researcher, and design software.
  3. Set Timelines: The work package will start on October 1st and end on October 31st.
  4. Assign Responsibilities: The UI designer will create the wireframes and mockups, while the UX researcher will conduct user testing.
  5. Review and Approve: You’ll review the work package details with the project sponsor and get their approval.
  6. Issue the Work Package: Once approved, you’ll officially issue the work package to the team, giving them the go-ahead to start work.

Throughout the month, you’ll monitor progress, provide support as needed, and ensure that the work stays on track. Once the UI design is complete, you’ll review the deliverables, celebrate the success, and move on to the next work package.

. By following the steps outlined above and keeping these tips in mind, you’ll be well on your way to mastering this important activity.
