The Project Product Description is created in the starting up a project process as part of the initial scoping activity and may be refined during the initiating a project process when creating the project plan.
The Project Product Description is subject to formal change control and should be checked at stage boundaries during the managing a stage boundary process, to See if any changes are required.
It is then used by the closing a project process as part of the verification that the project has delivered what was expected of it and that the acceptance criteria have been met.
As I have said, the approved PRINCE2 Project Product Description is included as a component of the Project Brief and is used to help select the project approach.
It is also worth repeating that the Project Product Description defines what the customer is expecting the project to deliver and the project approach defines the solution or method to be used by the supplier to create the project product.
The Project Product Description then, is a special form of product description in that it includes the customer’s quality expectations, the quality criteria and quality methods for defining the acceptance criteria and acceptance methods for the project overall.
The Project Product Description is reviewed and approved during the “Authorise Initiation “Activity leading to the start of the initiation stage.
It is here that the activities take place to establish the strategies for the project. The strategies are derived from the corporate or programme management strategies, standards or practices that the project needs and the customer’s quality expectations captured within the Project Product Description.
It is here that the project board and project assurance check that the project acceptance criteria are sufficiently defined
The PRINCE2 Project Product Description Management Outline
The purpose of a product description is to describe a product’s purpose, composition, derived from,
and quality specifications. It is produced at the planning time, as soon as possible after the need for
the product is identified.
Identifier: the product name or a unique identifier if the project has a large number of products
Version: the current version number of the product description
Composition: a list of the product’s components or parts
Derived from: the source of this product, such as a design, a commercial product, an existing
system to be upgraded or replaced, or a statement of expected benefits
Quality specifications: the functional and non-functional requirements for the product along with
their associated measures
Development or production approach and skills required: a description of how the product is
expected to be developed or produced and any special skills, facilities, or equipment required
Quality tolerance: the ranges within which key quality specifications can vary and remain acceptable
Quality methods and quality skills required: the quality methods (such as verification, test, and
inspection) to be used to check that the product meets its quality specification and the indication of
skills required to perform the quality control activities
Responsibilities: the producer, reviewer, and acceptance authority for the product.
