Changing manually scheduled tasks to auto scheduled
If some task information was unavailable when you started your project plan, you may have created manually scheduled tasks to record the information you did have. MS project changes to task bars appearance to indicate what information is available or missing.

As your task information change shape, you can fill in the missing task fields and turn many of those manually scheduled tasks into auto scheduled ones.
In some cases you create manually scheduled tasks so you can pin the tasks dates to the calendar. Those pass remain manually scheduled for the duration of the project.
Be sure to review all in all manually scheduled tasks to make sure you have filled in missing task information.
MS project 2010 – seeing the trees not the forest
Most of the time, you want to see information like resource names and milestone dates associated of task bars in the Gantt chart timescale.
However, these fields get in the way when you are looking at task dependencies. MS project connoisseurs know you can move the task bar text by formatting bar styles. You do this by choosing format, bar styles, click the form that down arrow, and choose bar styles.
But you have to repeat this step for each type of taskbar. The Gantt chart wizard can sweep away all taskbar text at once.
Changing the appearance of the Gantt chart is easy, but you can save more time by using a customized page for you for your Spartan Gantt chart.
Read on to find a way to clean up your Gantt chart:
- Choose view, task views. Below the current view name, click the down arrow, and then choose more views
- In the more views dialogue box, select Gantt chart, and then click copy
- In the view definition dialogue box, type a name for the view, such as Clean Gantt
- To display the view on the view drop down menu for easy clicking, leave the “show in menu” check box turned on.
If you turn to check box off, then you open the view by choosing, task views, clicking the down arrow, choosing more views, and in the more views dialogue box, selecting reviewed the view name
To save and display the view, click OK. Back in the more views dialogue box, click apply
To use the Gantt chart wizard, you must first add it to a custom group on the ribbon
- In that custom group, choose Gantt chart wizard
- On the first screen, click next
- Make sure the standard option is selected, and then click next
- On the next screen, select the number option to remove all taskbar text. Click next.
- On the next screen, make sure the yes option is selected to show link LL, and then click next
- On the last screen, click format it, and then click exit wizard. The wizards formatting is already in place in the view
The built in tasks without dates filter, is selected by view, data, filter, more filters, and then double click tasks without dates. This shows tasks without a start and finish date.
However, incomplete task information comes in other forms, like tasks with start dates but no finish dates, so that filtered does not show all the tasks you need to see.
Filtering your task list to show all manually scheduled tasks is about the place to start. Here is how you can filter your task list and switch tasks to auto scheduled as you fill in their missing information:
Display the entry table by right clicking the select all cell at the intersection of the column heading row and task ID column and then choosing entry
To insert a task mode field in the current table, right click the column heading to the right of way you want to insert the field and then choose insert column. In the drop down list, choose task mode.
To filter your task list to show only manually scheduled tasks, click the down arrow in the task mode field, and turn off the auto scheduled check box. Then click OK
The task list includes all manually scheduled sub tasks and the summary tasks to which they belong. The filter icon appears to the right of the task owner, and name, to indicate that the list is filtered by the column
Review each task in the list, and fill in any missing information
A partially shaded taskbar without him Means you have not defined either a start or finish date. If a task is only one end cap, then the duration or one of the tasks dates is missing.
To keep the task at manually scheduled, fill in the tasks start and finish fields. You can also switch the task to auto scheduled, so that MS project can use the tasks predecessors and successors to calculate its dates.
To switch a task to auto scheduled, click the tasks task mode cell, click the down arrow that appears, and then choose auto scheduled. Or you can right click the task and then choose to auto scheduled from the shortcuts menu.
The auto scheduled icon looks like a task bar with an arrow pointing to the right. In addition, the task bar style in the timescale changes to show that the task is auto scheduled. The auto scheduled task remains in the view.
To reapply the manually scheduled filter, simply press Shift and then F3. Project hides any tasks you have switched to auto scheduled.
When the task list shows only be manually scheduled tasks, you created to control tasks, you have finished!
