If you’re preparing for the PRINCE2 7th Edition Practitioner Exam, one of the biggest challenges is understanding how the seven processes and key management products work together. It can feel overwhelming at first, but once you see the bigger picture, everything starts to make sense.

Let’s break it down step by step, following the natural flow of a PRINCE2 project.

PRINCE2: A Process-Driven Framework

PRINCE2 is all about structure and control. Instead of jumping straight into project execution, it provides a logical flow—starting from project initiation, moving through controlled delivery stages, and finally, project closure.

At the heart of PRINCE2 are seven processes, each designed to answer key questions:

  • Why are we doing this project? (Starting Up a Project)
  • How do we plan it? (Initiating a Project)
  • How do we monitor and control progress? (Controlling a Stage)
  • How do we handle risks and issues? (Managing a Stage Boundary)
  • How do we develop and deliver the products? (Managing Product Delivery)
  • How does senior management stay involved? (Directing a Project)
  • How do we close the project effectively? (Closing a Project)

To make this work, PRINCE2 relies on management products—documents and logs that capture key information at each stage. These products aren’t just paperwork; they’re essential tools for decision-making and governance.

Let’s go through the seven PRINCE2 processes and see how they connect with the key management products.

Starting Up a Project (SU) – Laying the Foundation

Before a project officially begins, it needs a trigger. That trigger is the Project Mandate—a document that justifies why the project should exist.

    Key Steps in SU:

    • Appoint key roles (Project Board Executive & Project Manager).
    • Capture lessons learned from past projects (Lessons Log).
    • Define the Project Brief (a high-level overview of the project).
    • Prepare an Initiation Stage Plan (a roadmap for project initiation).

    At this stage, we are not planning the entire project in detail. Instead, we’re ensuring the project is worth exploring further before investing time and resources.

    Key Management Products in SU:

    • Project Mandate – The initial trigger for the project.
    • Project Brief – A summary of what the project will achieve.
    • Lessons Log – Lessons from past projects that may help.
    • Initiation Stage Plan – A plan for the next stage (Initiating a Project).

    Once the Project Board approves the Project Brief, we move into the Initiating a Project process.

    Initiating a Project (IP) – Planning in Detail

    Now that we have approval, it’s time to plan the project properly. This is where we assemble the Project Initiation Documentation (PID)—the single most important document in PRINCE2.

      Key Steps in IP:

      • Define the full Business Case (why this project is valuable).
      • Plan how to manage risks, changes, quality, and communication.
      • Create the Project Plan (high-level schedule & resource plan).
      • Establish project controls (reporting mechanisms, tolerances, etc.).

      At this point, we have everything we need to manage the project effectively. The Project Board now makes a critical decision: Do we approve this project?

      Key Management Products in IP:

      • Project Initiation Documentation (PID) – The “contract” for the project.
      • Business Case – Justifies the project’s value.
      • Project Plan – Defines scope, time, cost, and quality.
      • Risk, Issue, and Quality Registers – Logs to track risks and quality.

      Once approved, we move into project execution, where the real work begins.

      Directing a Project (DP) – Senior Management Oversight

      While the project team handles day-to-day execution, the Project Board provides strategic direction. This process runs throughout the project and includes:

      • Giving the project manager clear direction.
      • Making key decisions at stage boundaries.
      • Approving changes and handling escalations.

        The Project Board does not get involved in day-to-day work—that’s the Project Manager’s job. Instead, they focus on major decisions and approvals.

        Key Management Products in DP:

        • End Stage Reports – Summarizes progress at each stage.
        • Exception Reports – Alerts when a stage exceeds tolerances.
        • Project Board Decisions – Approvals and escalations.

        Controlling a Stage (CS) – The Project Manager’s Core Role

        This process happens within each stage and focuses on keeping things under control. The Project Manager is responsible for:

        • Assigning work to teams (Work Packages).
        • Monitoring progress through Checkpoint Reports.
        • Handling issues and risks proactively.
        • Reporting status to the Project Board.

          Think of this as running a well-oiled machine—tracking progress, solving problems, and making sure teams stay on schedule.

          Key Management Products in CS:

          • Work Packages – Assigns work to teams.
          • Checkpoint Reports – Team updates for the Project Manager.
          • Highlight Reports – Progress updates for the Project Board.

          Managing Product Delivery (MP) – Where the Work Gets Done

          While the Project Manager oversees everything, the actual work is done by delivery teams.

            This process ensures that:

            • Teams clearly understand their work assignments (Work Packages).
            • Deliverables meet quality standards.
            • Completed work is handed back properly.

            Key Management Products in MP:

            • Work Packages – Defines what needs to be done.
            • Quality Register – Tracks quality checks.
            • Delivery Approvals – Ensures outputs meet requirements.

            Managing a Stage Boundary (SB) – Preparing for the Next Stage

            At the end of each stage, the Project Manager prepares for the next one by:

            • Reviewing what has been achieved.
            • Updating the Business Case (if needed).
            • Creating the Next Stage Plan for approval.

              This ensures that the project remains viable at every step. If things are off track, the Project Board can request an Exception Plan or even decide to stop the project.

              Key Management Products in SB:

              • End Stage Report – Summary of achievements and lessons.
              • Next Stage Plan – The roadmap for the next phase.
              • Exception Plan (if tolerances were exceeded).

              Closing a Project (CP) – Wrapping Things Up

              All good things must come to an end. Whether the project is completed successfully or shut down early, this process ensures:

              • Deliverables are formally handed over.
              • A final review of lessons learned (Lessons Report).
              • Closure of all logs and registers.

                The goal is to ensure a clean and professional project closure.

                • Project Closure Report – Final summary of the project.
                • Lessons Report – Insights for future projects.
