In this blog I’ll break that down and examine how sustainability fits into your business case and a document within the PID called the sustainability management approach.
If you’re using PRINCE2, you know it’s a solid framework for running projects. The 7th Edition, the latest one, puts sustainability front and center.
It’s not just about hitting deadlines or sticking to budgets anymore. You’ve got to think about the planet, people, and long-term impacts.
Reporting on sustainability helps you show stakeholders you’re walking the walk, not just talking the talk. But what do you measure? How do you track it? And where does it fit into your PRINCE2 toolkit? Let me explain …
First, why does sustainability reporting matter in PRINCE2? Picture this: You’re leading a project to build a community center. You want it done on time, sure, but what about the energy it uses or the waste from construction? Ignoring those could mean higher costs later or even a bad reputation.
PRINCE2’s 7th Edition weaves sustainability into every step—planning, executing, and closing. Reporting keeps everyone accountable and shows you’re aligning with bigger goals, like your organization’s environmental, social, and governance (ESG) commitments.
Speaking of goals, the United Nations has 17 Sustainable Development Goals (SDGs)—things like better health, less inequality, and tackling climate change.
Many companies sign up to support these, setting their own targets to match. Your project needs to sync with those too.
For example, if your company aims to cut carbon emissions by 20%, your project should reflect that. PRINCE2 makes this part of the business case, where you set specific sustainability targets and tolerances.
Sustainability in your Business Case
So, what’s in the business case? It’s where you justify why the project is worth doing.
In PRINCE2, you outline sustainability targets here—like reducing energy use by 15% or hiring 50% local workers. You also set tolerances, which are like wiggle room.
Say you aim to recycle 80% of waste, but you’re okay if it’s 75-85%. These targets tie to your organization’s ESG goals or those UN SDGs.
If your project’s main purpose is sustainability—like building a flood defense barrier—traditional methods like discounted cash flow might not work. Why? Benefits might take 20-30 years to show up, so you need a different way to justify it, like focusing on long-term community safety.
Then there’s the sustainability management approach document. This is your game plan for handling sustainability. It spells out how you’ll measure, track, and report on those targets. It contains what indicators you’re using, who’s responsible, and how you’ll report progress.
For instance, it might say, “Track energy use monthly via utility bills, report in highlight reports, assign to project support.” It ensures everyone’s on the same page.
Sustainability Indicators
Now, let’s talk about those sustainability indicators—the measurable bits that show your project’s green and social impact.
Energy use is a big one. Imagine you’re upgrading a company’s IT system. You could track kilowatt-hours (kWh) used by new servers versus old ones. Report it like: “New servers used 100 kWh this month, down from 120.” Why bother? It spots ways to save energy, like choosing efficient hardware, which cuts costs and emissions.
Waste reduction is another. In a construction project, measure tons of material recycled versus sent to landfills. Set a goal: “Recycle 80% of debris.” In your report, you might write, “Diverted 6 tons of wood this week.” It’s clear and shows progress.
Water usage? Track litres in a manufacturing project.
Emissions? Calculate CO2 from team travel. Use a carbon calculator for numbers.
Social indicators matter too, like jobs created for local communities or health and safety incidents tied to green practices, like using non-toxic paints.
Economic indicators can include cost savings from sustainable choices, like buying recycled materials in bulk to save money over time.
How to weave sustainability into PRINCE2 reports and logs
Your business case is the starting point.
List sustainability targets and tolerances here. For example, “Reduce project emissions by 10%, with a tolerance of ±2%.” Revisit it at stage boundaries to check if you’re on track.
The sustainability management approach document comes next. It’s part of your project initiation documentation.
Here, you outline your indicators, how you’ll measure them, and who’s accountable.
For example: “Indicator: Waste recycled. Measurement: Weekly weigh-ins. Responsible: Site manager.”
In your project logs, the risk log is helpful.
Note sustainability risks like “Delays due to eco-friendly supplier issues” and track indicators like “Supplier emissions monitored quarterly.”
The issue log works for problems, like “Waste exceeded target by 15%—investigating solutions.”
Progress reports like highlight or checkpoint reports—are perfect for updates.
Add a sustainability section: “Energy use: Down 10% after installing motion-sensor lights.” Keep it short and sweet.
End-of-stage reports summarize it all: “Met 80% waste recycling goal; next stage aims for 85%.”

Say you’re managing a software project for a retail app with a sustainability goal of going paperless. In the business case, set a target: “Eliminate 100% of printed documents, tolerance ±5%.”
Your sustainability management approach might say, “Track printed pages weekly, report in highlight reports.” Log it daily: “Team went paperless today—saved 40 sheets.” Weekly report: “Server energy: 90 kWh, down from 110 after code optimization.”
Another example: A flood defense project. The business case might focus on long-term benefits like “Protect 1,000 homes for 30 years.”
Traditional cost-benefit analysis won’t cut it here, so you emphasize community safety and align with SDG 13 (climate action). The sustainability management approach tracks indicators like “Tons of sustainable materials used” and reports progress.
Tools like spreadsheets or project software (Microsoft Project, Asana) can help. Set up a dashboard: green for on-target, red for issues. Start small—pick 3-5 indicators. Get your team on board early to make it a group effort.
Challenges? Sure. Metrics can be tricky to measure.
Solution: Use reliable sources like utility bills or carbon calculators. Align with standards like ISO 14001 or those UN SDGs, but don’t overcomplicate.
Bottom line: Sustainability reporting in PRINCE2 is about progress, not perfection. Set targets in your business case, detail your plan in the sustainability management approach, and track indicators in logs and reports. You’ll make your projects better for people and the planet.
